Reporting Requirements

Throughout the year, the District is required to submit reporting requirements to World Headquarters. If these requirements are not met, the District reserve cannot be accessed, and in some cases, Distinguished District cannot be achieved. Use the resources on this page to access the different requirements, forms and due dates that will keep your District on track.


Prerequisites for the Distinguished District Program – Due September 30

Division and Area Director Training Report

The Division and Area Director training report is a requirement of the Distinguished District Program.

District Success Plan

This plan, in conjunction with the Distinguished District Program, serves as your strategic plan for the program year. The District Success Plan is a requirement of the Distinguished District Program.


Reporting Requirements – Due to District Services by July 15

District Leader List and Officer Agreement and Release Statement

Each year during election season, the District leadership team will receive information about submitting the District leader list of incoming officers. Any changes, corrections or updates must be entered by September 1 for the officers to receive credit for the full term toward Distinguished Toastmaster recognition. District leaders must complete and submit an Officer Agreement and Release Statement in order to hold office.

District Calendar

Send World Headquarters a direct link to the District website calendar or create a template and add the events planned for the District.

Area and Division Alignment Changes

World Headquarters will send alignment forms to the District Director and District Director-elect in mid-June.

District Signatories

The Toastmasters International Executive Committee must approve all signers on District accounts. (This form is due to District Finance by July 15)


Additional Requirements – Due to District Finance by:

  • August 31: Year-end Audit with certification page and narratives
  • September 30: District Budget
  • October 31: Quarter 1 Treasurer’s Report with certification page and narratives
  • February 15: Mid-year Audit with certification page and narratives
  • April 30: Quarter 3 Treasurer’s Report with certification page and narratives
