Replying to Prospective Members — World Headquarters receives many replies to emails that should be going directly to the prospective members. Please ensure you are replying to the person that reached out to your club and not replying to the email. In order to help, we updated the automated email clubs receive to be clearer on how to properly reply to prospective members. We’ve also heard that some clubs that use FreeToastHost had issues receiving prospective member emails, so we whitelisted email@example.com to ensure emails make it to your inbox. Another way to ensure prospective member emails are delivered to your inbox is to add firstname.lastname@example.org as a contact in your email service provider.

Key Pointers on Pathways — The countdown continues! It’s now about four months until the Toastmasters traditional education program expires. If you are already well into your Pathways journey, keep going! If not, don’t fret—there are many resources to help. Cultivating Club Leaders — In the coming weeks, clubs all over the world will begin looking for officers for the 2020-2021 program year. The first question many nominating committees must answer is, “How do we convince members to begin a leadership journey?” In this March Toastmaster article, find advice from members who have taken on club leadership roles and learn how to unmask the potential in others.
International Officer and Director Candidates Nominated — The Toastmasters International Leadership Committee has nominated International Officer and Director candidates. Plan for PR Success — Public Relations Managers (PRMs) should continue updating their Communication Plan throughout the 2019-2020 program year. The plan helps them stay organized, delegate responsibilities, and will ensure a smooth transition for the incoming PRM. Have You Completed Your Area Director Visit Report? — Submit an Area Director’s Club Visit report through District Central on or before May 31, 2020 to receive credit toward the Distinguished Club program. Remember that your support affects the future of clubs in the Area and empowers officers and members alike to achieve their goals. Help Your Clubs Return to Good Standing — All clubs without eight paid members during the October 2019 renewal period have already received an email informing them they are no longer in good standing. Ensure membership dues payments for the next renewal period are submitted by March 31, 2020 to keep clubs in good standing. If clubs in your District are struggling with membership, the best thing to do is to assign a Club Coach.
Sponsor and Mentor Credit — In anticipation of the June 30, 2020 traditional education program award deadline, we encourage all sponsors and mentors to submit “Get Credit” forms at their earliest convenience. Upon the charter of the club, a “Get Credit” form is emailed directly to the sponsors and mentors. In place of this form, any charter officer can email firstname.lastname@example.org and confirm the role of a sponsor or mentor was fulfilled. New club sponsors can receive credit once the club is chartered, and mentors may receive credit six months from for charter date.

Convert Prospective Members — Did you know that an average of 10,000 prospective members a month attempt to contact a club via Find a Club? Follow the helpful tips in the Find a Club Best Practices document to grow your club!
International Speech Contest Change — In response to member feedback, the Toastmasters Board of Directors approved—effective immediately—for the top two contestants from each region to proceed to semifinals. This means that a total of 28 contestants (up from 14 in 2019) will compete in the semifinals at the 2020 Toastmasters International Convention in Paris, France. The top-two contestants from each semifinal will proceed to the World Championship of Public Speaking®. Pay Dues by April 1 — Membership dues payments for the next renewal period are due on or before April 1, 2020. To pay your club’s dues, log in to Club Central and click “Submit Payment.” Unpaid officers lose access to Club Central 30 days after their membership expires. Email the Club and Member Support Team at firstname.lastname@example.org if you have questions.
Talk Up Toastmasters Award — Make membership building fun by encouraging everyone to participate in the Talk Up Toastmasters program. If your club adds five new, reinstated, or dual memberships to its roster with a join date between February 1 and March 31, you'll earn a special ribbon to display on your club banner. Plus, you’ll receive a 10% discount on your next club order from the Toastmasters Online Store!
Ensure Your Club is in Good Standing — Is your club currently in good standing? Select your club’s District from the Daily Reports – October Dues Renewal Status and ensure your club is listed as “Verified Complete.” The deadline to return to good standing and avoid suspension is March 31, 2020. Refer to the Club Status Guide to determine how a club’s status affects different features and areas of the Toastmasters program. End of the Traditional Education Program — The end of the 2019–2020 program year is right around the corner. Members who will be serving as a club or District leader or as Club Coach through June 30, 2020 will be able to begin submitting traditional awards with leadership requirements as early as June 1 if they would like to use this credit for a traditional award. Find the Right Speakers — One of the most important aspects of planning your conference is selecting educational speakers. Here are a few guidelines to help you get started.
Ensure Clubs are in Good Standing — Clubs can return to good standing for the October Renewal period and avoid suspension by submitting outstanding October dues by March 31, 2020. Select your District from the Daily Reports – October Dues Renewal Status to verify current club standings. Clubs with the standing of “Low,” “Ineligible,” and “Renewals not here” are at risk of suspension. Refer to the Club Status Guide to determine how a club’s status affects different features and areas of the Toastmasters program. Stay On Track To Be Distinguished — Ensure you reach your targeted District Recognition Program (DRP) milestones by focusing your attention and efforts where they’re most needed. View the Performance Dashboard for the latest statistics on your overall District performance. DRP goals must be met on or before June 30, 2020.
Get Credit for Club Officer Training — Recognize club officers who attended second-round training by submitting Club Officer Training through District Central on or before March 31, 2020. Report updates are due no later than May 31, 2020. Please check your report regularly to ensure it's accurate. This will help the clubs in your District receive credit towards the Distinguished Club Program.
