Credentials for the Annual Business Meeting FAQ

The deadlines for the Credentials process will be in Pacific Daylight Time (PDT)/Universal Coordinated Time (UTC) -7.

Clubs can assign their proxies until August 9 at 11:59 p.m. PDT/UTC -7.

No, clubs will not be able to assign proxies or make changes to their proxy assignment after 11:59 p.m. PDT/UTC -7 on August 9. Delegates at Large and proxyholders will only need to complete the Credentials process once.

A club can reassign their proxy after it has been submitted at any point before 11:59 p.m. PDT/UTC -7 on August 9. To reassign their proxy, the Club President or Club Secretary should follow the steps below:

1. Log in to toastmasters.org with your email and password.
2. Scroll to the Annual Business Meeting section on My Home (directly below the My Education and Achievements section).
3. Click on “Club Proxy & Voting Instructions.”
   a. If you are an officer in multiple clubs, select the club(s) for which you are assigning the proxy.
4. Click on the Edit button next to “Designate Proxyholder” to start the reassignment process.
   a. Click on the Edit button under “Proxyholder.”
   b. Select one of the three categories for the new proxyholder and input the required information.
   c. To submit your updated proxyholder designation, enter your name into the Signature box at the bottom of the page, click the checkbox, and press “Confirm proxyholder.”

All proxyholders will be sent daily emails that contain basic instructions and remind them to complete Credentials.

To complete the Credentials process, follow the steps below:

1. Log in to toastmasters.org with your email and password.
2. Scroll to the Annual Business Meeting section on My Home (directly below the My Education and Achievements section).
3. Click on “My Votes & Instructions.”
4. Under My Proxies, click on Accept all votes at the bottom of the page.
5. Watch the voter training video and confirm your intent to vote by checking the boxes and clicking “Accept all votes.”
6. Press “Ok.”
7. Click on “Download Proxy Summary Report” and select the desired paper size.
8. Print/Save your Proxy Summary Report to use when completing your electronic ballot during the Annual Business Meeting.

Yes, Delegates at Large must complete the Credentials process to cast their one vote at the Annual Business Meeting.

All communications will be in English.

Voting will only be conducted during the hours of the Annual Business Meeting. Voting for each election will be called individually by the chair and only remain open for a few minutes. The results for each election will be announced after a slight delay for calculation and verification.

The emails regarding club proxies are sent to both the Club President and Club Secretary. If there is no email address on record for either club officer, a letter will be sent by postal mail to both club officers.

Furthermore, if a member selected “No” for email under “My Privacy and Consents,” that member will still receive communications related to their membership and the organization’s business, such as voting, region alignments, dues, and recognition.

District Directors will be able to see which clubs have assigned their proxies and which clubs have not. This information is accessed by following the steps below:

1. Log in to toastmasters.org with your email and password.
2. Scroll to the Annual Business Meeting section on My Home (directly below the My Education and Achievements section).
3. Click on “Club Proxy Designations.”

District Directors are provided the Club Presidents’ names and contact information to allow the District Director to follow up.
