Six Simple Steps to District Visit Success

Your visiting officer or director plans to participate in your district conference activities and to help make the visit a productive event. We know you will use this opportunity to your district’s best advantage by placing the officer or director on the conference program in select spots.

Here are six important steps you can accomplish to prepare for the visit:

  1. If you schedule a minimum of five new club opportunity visits to company and community groups, the officer/director may be able to come in a day early to participate. Toastmasters International will reimburse the director for the additional day, though a “Report of Corporate/Community Visits” form must be completed listing all the visits. It’s best to check with the visiting officer/director to ensure he/she is able to arrive early.
  2. Please arrange for the officer/director to be on the main luncheon or dinner program to deliver a motivational address or to provide a keynote address to the full assembly.
  3. Also, the officer/director is prepared to serve as a presenter in an educational session. There should be no concurrent sessions during the international officer/director’s sessions.
  4. Be sure your educational program coordinator is aware of the role of the officer/director at your conference.
  5. Contact the officer/director as soon as possible so you can discuss how this visit can best meet your district’s needs and how this officer/director can best fit into your program.
  6. You will probably find that the press, radio, and television media are receptive to comments or appearances of visiting dignitaries. We suggest you explore opportunities to arrange a press interview or appearance by the officer/director on radio or TV talk shows in the city where the conference is being held.
