Prepare for Your Club Officer Kit Mailing

In May, every club will receive seven copies of the Club Leadership Handbook (Item 1310) for incoming officers. This handbook is part of the Club Officer Kit, which will be sent to your club mailing address on record. To ensure the materials are received promptly and in the correct language, please complete the following steps by March 15:
  • Confirm or update your club mailing address:
    • Log in to Club Central using your personal username and password.
    • Click on your club name and number, and then on Update my club mailing address.
  • On the same page, confirm your language preferences. The Club Leadership Handbook is available in English, Arabic, Simplified Chinese, Traditional Chinese, French, German, Japanese and Spanish.
    • Go to Language for officer manuals and choose a language from the drop-down box.
    • Click Save at bottom of page.

Reminder for California Club Treasurers

California-based clubs are required to electronically file the 199N form with the Franchise Tax Board by May 15. On January 16, club presidents and treasurers received an email from World Headquarters containing filing instructions. If you have questions, please email 199N@toastmasters.org.
 

Get Credit for Club Officer Training

Lieutenant governors education and training: Please submit your Club Officer Training Report online through District Central no later than May 31. Check your district report regularly for accuracy.

Area Governors: Complete Club Visits by May 31

During your visits, see if clubs create a supportive learning environment and the best possible member experience. Evaluate clubs based on the six Moments of Truth, Toastmasters International's club quality standards. After each visit, submit an online Area Governor's Club Visit Report through District Central.

Submit Dues Renewals Online

Club officers may submit renewals through the Toastmasters website by accessing Club Central. A reminder email was sent on February 28. Visit www.toastmasters.org/duesrenewals to learn more.

Welcome Newcomers with Guest Packet

When guests arrive at your club be sure to give them a Guest Packet (Item 387) and an All-Purpose Badge (Item 397). When the meeting ends, thank them for visiting and invite them to your next meeting. Wait a few days and follow up with a phone call or email to ask if they have questions about your club and encourage them to become a member.

Is Your Club Branded?

As a leader, you are responsible for ensuring that your club is branded. Branded clubs exude quality which helps in attracting new members to our global organization. There are many free resources, marketing materials and tools available at the Brand Portal. If you have questions about the brand or need help in getting your club branded, please contact brand@toastmasters.org.

  

Announcing International Speech Contest Semifinal Positions

Randomly selected assignments for contestants in the 2013 International Speech Contest Semifinals are now posted. Nine semifinal contests will be held during the International Convention in Cincinnati, Ohio. The winner of each semifinal round will move on to participate in the World Championship of Public Speaking.

Welcome 2013-2014 Region Advisors (RAs)

The 2013-2014 RAs have been appointed. Find out who will serve in your region for the next program year, and be sure to congratulate him or her. RAs support districts and district leaders in many important ways. Districts will continue to work with current RAs until June 30, 2013.

Communication and Leadership Award

Many districts plan to present a Communication and Leadership Award (Item 1971) to an outstanding communicator or leader at their second conference. Be sure to order the award early.

Branded Gifts for District Conferences

Consider giving your conference attendees gifts from the Toastmasters Online Store. If you are designing a unique item, be sure to follow branding guidelines and use Toastmasters International logos, images and other graphic elements available for free download on the Brand Portal. Next, submit all products, artwork or designs for trademark approval. Be sure to include vendor and pricing information on the request form.

How Is Your District Performing?

Is your district on target to meet its goals in the District Recognition Program by June 30? Stay updated with its progress by frequently reviewing your district's performance.

Honor Your Sponsoring Organizations

Help your corporate clubs honor their sponsoring organizations with Toastmasters corporate recognition awards. For details about these awards, please read the Guide to Corporate Visits.To ensure timely delivery of your recognition items, plan to allow at least four weeks for processing and shipping.

 

There is no "All Leaders" information for the month of March.

Policy and Protocol Updates

During the February 2013 Board of Directors meeting, the following documents were updated:
  • District Administrative Bylaws
  • Protocol 7.0: District Structure
  • Policy 8.6: Use of Reserve Funds
  • Protocol 9.0: District Campaigns and Elections
  • Policy 9.1: International Campaigns and Elections
  • Policy 11.4: Board of Directors Committees
The Board of Directors also established the following new policy:
  • 1.1: Mission Statements, Values, and Envisioned Future

Convention Registration Opens Soon

Don't miss the 82nd annual Toastmasters International Convention, taking place August 21-24, 2013, in Cincinnati, Ohio. Registration will open in April on the Toastmasters website. See next month's Leader Letter for more details.

Revised Accredited Speaker Program

In August 2012, the Executive Committee reviewed and approved several recommendations to strengthen the Accredited Speaker Program. To view the updated materials and qualification process, click here. Applications for the 2014 Accredited Speaker Program are due February 1, 2014.

1+1 Membership-Building Promotional Cards

All members can support the 1+1 membership-building program and help their club win $250 toward purchases in the Toastmasters store. On page 16 of the March Toastmaster magazine, four tear-away promotional cards have been included to help members encourage their friends, family and colleagues to join a club. Be sure to fill out all club and contact information on the back of each card. Additional 1+1 promotional fliers are available for free download at www.toastmasters.org/1plus1.

Use extra magazines to bring new members into your club by following these suggestions. If you prefer to receive your magazine only in digital form, or to cancel extra subscriptions, please notify membership@toastmasters.org.
