Thank You, Outgoing Leaders!

Congratulations to club and district leaders for a successful 2013-2014 program year. Thank you for your dedication and the inspiration you continue to provide to members and other leaders!

June 30 Deadline for Distinguished Club Program

Your club still has time to achieve those last few DCP goals. If you have not yet met membership-building goals 7 and 8, encourage participation in the "Beat the Clock" contest, which also ends June 30. Make sure the online DCP report accurately reflects your club's accomplishments. If you find discrepancies, report them to membership@toastmasters.org. Member Services will ensure your club receives the credit it deserves.

Review Month-End Closing Dates

To confirm that your submissions are received and processed on time, regularly check the month-end closing dates schedule. The webpage shows reporting date deadlines for items such as education award applications, membership applications, club charter documentation and club coach appointments.

Who Won Your District Speech Contest?

Attention lieutenant governors education and training (LGETs): Please email your Report of District International Speech Contest Winner form to semifinals@toastmasters.org on the Monday following your district's International Speech Contest. This form was emailed to LGETs on March 25. Please contact us if you haven't received it. Winners will receive an invitation to register for the International Convention and book airfare.

Plan Now for Year-End

June 13 is the last day district leaders may place supply orders and access the district reserve account for the 2013-2014 program year. Incoming leaders can access district accounts for the 2014-2015 program year beginning July 1. Please contact districtfinancialquestions@toastmasters.org with any concerns.

Reporting Requirements Due July 15

District governors (DGs) must fulfill certain reporting requirements by July 15 to access the reserve account and place supply orders. Please email districts@toastmasters.org as soon as possible with the following information:
  • A list of incoming district leaders
  • A direct link to your district's online calendar of events
  • Area and division alignment changes (DGs will soon receive a template from District Services for submitting alignment changes.)

Handbooks for Incoming Officers

If your club chose to receive its Club Leadership Handbooks in a language other than English, seven copies will be delivered to the club mailing address this month. Handbooks for clubs that chose the English-language version were mailed in May. Please distribute one to each newly elected officer. The updated information, insight and direction the handbooks provide will help new club officers carry out their role-specific responsibilities.

Submit Award Applications Online for Faster Service

Toastmasters International receives more member award applications in June than in any other month. As a result, members who apply for awards this month may experience a delay in receiving their certificates. To avoid delays, submit award applications via Club Central.

Is Your Club Easy to Find?

Help prospective members find your meeting location by updating your club information. Simply log in to Club Central and enter the current contact information for your club, including a phone number and an email address.

New Club Officer Training Materials Available

Clubs whose officers attend training twice each year achieve greater success. District leaders will hold the first round of Club Officer Training between June 1 and August 31. Updated materials are available here.

Get Ready for District Leader Training

District Leader Training will be held for newly elected district governors (DGs) and lieutenant governors (LGs) on August 18-19 at the Kuala Lumpur Convention Centre prior to the 2014 Toastmasters International Convention. Plan to arrive no later than Sunday, August 17, ready to begin on Monday morning. To get the greatest benefit from your training experience, look for an email in July regarding pre-work assignment details.
Attention outgoing DGs: Please submit the list of incoming district leaders to districts@toastmasters.org if you haven't already done so. Once this step is completed, incoming DGs and LGs will receive a special invitation to register for training and book airfare and lodging.

District Governors: Place Your Orders at the Convention

Incoming DGs will be invited to an exclusive preview of the Convention Store in Kuala Lumpur, before the store opens to all members on Wednesday. Although orders may not be placed in advance for pickup at the convention, DGs may place district orders during the preview and also on Thursday, Friday and Saturday.

Treasurers: Take Advantage of Virtual Training

District treasurers will quickly succeed in their role by accessing webinars and e-learning tools. A helpful guide, Managing District Finances, is also available. Recognize Incoming Club Officers

Club presidents or area governors may choose to honor new club officers at an installation ceremony with the Club Officer Pin Set, which includes a pin for each position. June special: Receive a 10-percent discount when you use promo code OFFICER at checkout.

Be Heard; Cast Your Vote

Club representatives have the opportunity to guide the organization by voting for international officers and directors at the International Convention's Annual Business Meeting, held this year in Kuala Lumpur. If a club has no representation at the meeting, its members can use the proxy system to designate another member to carry its vote. In July, club presidents and secretaries will receive proxy information via email. District governors, don't forget to follow up with club leaders and encourage them to designate their proxies.

Register for the Annual Convention in Malaysia

The most anticipated Toastmasters event of the year, the International Convention, will be held August 20-23, 2014, in Kuala Lumpur, Malaysia. Don't miss this truly global event, filled with seminars, speech contests and celebrations with members from all over the world. Hotel rates expire June 20, so book your hotel accommodations soon.
