Leader Letter Masthead Jan2011

JUNE 2012

  • June 30 Deadline for Distinguished Club Program (DCP)Rebranded Email Masthead

You have just enough time to meet those last few DCP goals! Make sure your club's accomplishments match the DCP report online. If you find discrepancies, please contact membership@toastmasters.org so that Member Services can help you investigate them and ensure your club receives the credit it deserves.

  • Last Chance to Submit New-club Forms Early

More clubs are chartered in June than at any other time of the year. To avoid delays, please review your forms and recheck your calculations. Have you included all required forms and necessary signatures? Send your forms to newclubs@toastmasters.org as early as possible.

  • Report Your District Speech Contest Winners

Please submit the Report of District International Speech Contest Winner form on the Monday following your district's International Speech Contest. The form was emailed to lieutenant governors education and training on April 5. If you didn't receive the email, please contact semifinals@toastmasters.org immediately.

  • District Leaders: Plan Ahead for Year-end

The last day for districts to place supply orders or access the district reserve account for the 2011-2012 program year is June 15. The district reserve account for the 2012-2013 program year will be accessible to district leaders beginning July 1.

  • District Reporting - July 15 Deadline

Please send your incoming district leader list and a direct link to your online calendar of events to districts@toastmasters.org. Also, District Services will send an important email in early June to district governors describing how to submit district alignment changes for the 2012-2013 program year. Submit these items by the deadline because each is required for you to access your reserve account and place supply orders.

  • District Signature Form and Bank Signatory Cards Due July 15

Attention incoming district leaders: Please submit the completed District Signature Form and all related bank signatory cards from your bank to districtfinancialreports@toastmasters.org by July 15. The District Signature Form and many other useful financial links are available at the District Finance Corner.

  • District Treasurers: Year-end Audit Due August 31

Please submit your Year-end Audit and supporting documents to World Headquarters by August 31. Email any questions to districtfinancialreports@toastmasters.org.

Delays Anticipated for Award Certificates

Please be aware that Toastmasters International receives more member award certificates in June than at any other time of the year. As a result, Toastmasters who apply for awards this month may experience delays in receiving their certificates. To reduce delays, log in to submit awards online.

For instance, one of the many things you can do is hold meetings where the incoming leadership team can learn from outgoing leaders.

New District Recognition Program Begins July 1

The 2012-2013 year will be exciting for all of our district leaders, as July 1 marks the start of the new District Recognition Program (DRP). The DRP includes the Distinguished Area, Division and District programs. It aligns with the Distinguished Club Program and focuses on club quality and the member experience. The new manual, Toastmasters International District Recognition Program (Item 1490), includes success plans for areas, divisions and districts, and a revised Area Governor's Club Visit Report (Item 1471).

Get Ready for District Leader Training!

District Leader Training will be held August 13-14 in Orlando, Florida, at Hilton Orlando Bonnet Creek prior to the 2012 Toastmasters International Convention. Please arrive no later than Sunday, August 12, so you are ready to begin on Monday morning. Please submit your incoming district leader list to districts@toastmasters.org to receive pertinent details about travel arrangements and covered expenses. You will be assigned pre-work to help you get the most from your training experience. More details regarding the pre-work will follow.

Virtual Training for District Treasurers

This year, webinars, e-learning and personalized instruction are available to help treasurers learn their role quickly. Treasurer training will not be provided at the convention, but treasurers will receive instruction about a variety of topics relating to budget creation, the district accounting system and financial management in the coming months.

Thank you, Outgoing Leaders!

Congratulations to club and district leaders for a successful 2011-2012 program year, ending June 30. Thank you for your dedication and the inspiration you continue to provide to members and other leaders.

Assign Your Club Proxy

Toastmasters clubs hold the most important voting power in the organization. In May, proxies for the Annual Business Meeting at the International Convention were emailed to all club presidents and club secretaries. Club officers: Make sure your club decides who will carry your club's vote at the meeting. District governors: Encourage club leaders to designate their proxies.
