Club Officer Kit Mailing

In April and June, clubs will receive seven copies of the Club Leadership Handbook (Item 1310) for incoming officers. These handbooks are part of the Club Officer Kit, which will be sent to your club mailing address on record. Clubs that choose to receive their handbooks in English will receive their mailing in April, and clubs that choose another language will receive their mailing in June. To ensure your materials arrive on time and in the correct language, please complete the following steps by March 15:

Confirm or update your club mailing address:
  1. Log in to Club Central using your personal username and password.
  2. Click your club name and number and then select Update my club mailing address.
  3. Update the information (if needed) and click Save at the bottom of the page.
Confirm your language preference. The Club Leadership Handbook is available in Arabic, Simplified Chinese, Traditional Chinese, English, French, German, Japanese, Portuguese and Spanish: 
  1. From Club Central click your club name and number.
  2. Select Update my club meeting information.
  3. Under Club Specifics, go to Language for officer manuals.
  4. Choose a language from the drop-down box.
  5. Click Update at the bottom of the page.

Please file the 199N by May 15.

Treasurer's Report Reminder

Please email the Mid-year Audit, Certification and Narratives by February 15 to districtfinancialreports@toastmasters.org. Also, be sure to mail the supporting documentation and signed report originals to World Headquarters. Before completing the report, your district accounts must be reconciled through December 2013 and closed by World Headquarters. Remember to obtain the signatures of the district governor, treasurer and each audit committee member for the Monthly Narratives and Certification spreadsheets.

Submit Dues Renewals Next Month

Beginning February 28, club officers may submit renewals through Club Central on the Toastmasters website. Look for a reminder email on February 28.

Show Off Your Club Video

Each month, clubs from around the globe enter the Toastmasters brand video contest. Share your
club's enthusiasm for the brand and your club could win branded materials. Winning videos will appear on the Toastmasters International website and social media websites. See contest details. Congratulations to the recent winner: Peace Speakers Toastmasters from Louisville, Kentucky!

Plan a Membership-building Contest

Encourage members to invite guests to a special meeting where you present the benefits of Toastmasters membership. In the "Talk Up Toastmasters!" contest, if your club adds five new, dual or reinstated members between February 1 and March 31, your club will receive a special ribbon to display on its banner, as well as a 10-percent discount on a club order. Is Your Club Easy to Find?

Help prospective members find your meeting location: Update your club information online and include a current phone number and email address.

Thank You, Mid-year Training Participants

The training in January built on foundational sessions conducted last year at the Toastmasters International Convention. Your discussions, sharing of best practices and collaboration made the training valuable for attendees and a tremendous success.

District Conferences: Speaker Selection and Alignment Tips

One of the most important aspects of planning your conference is finding the right speakers. The keynote speaker is the most crucial. Consider these suggestions for finding the best speakers to motivate, inspire and educate your attendees. Another important event at your conference is the Annual Business Meeting. Prepare by reviewing and amending the alignment of clubs, areas and divisions, if necessary.

Review District Procedures

Many districts establish specific operating procedures to guide the district and provide consistency from year to year. District officers should review procedures regularly to ensure they are relevant and current. If your district changes its procedures, please follow the guidelines on page 9 of the District Leadership Handbook. Be sure to email a copy to districts@toastmasters.org and post it on the district website.

Is Your District On Track to Become Distinguished?

Make sure your district is on target to meet its goals in the District Recognition Program by June 30, and review your district's performance frequently.

Creating Marketing Materials?    

If you intend to use the trademarked Toastmasters name and logo on a customized item, please follow the trademark and brand guidelines as outlined in the Brand Portal and Brand Manual and complete the recently updated Trademark Use Request Form.

Members of more than one club sometimes receive multiple copies of the Toastmaster each month. Use the extra magazines to attract new members by following these suggestions.
