  • 990-N Filing Update for U.S. Clubs
    World Headquarters will prepare and file Form 990-N with the IRS for U.S.-based clubs beginning with the 2012 tax year. This effort will reduce the administrative burden on club officers, and will ensure that each club's federal tax-exempt status is maintained. If your club's 2012 gross receipts exceed $50,000, please inform World Headquarters at 990N@toastmasters.org by December 31.
  • Semiannual Clubs: Update Your Officer List Online
    If your club elects officers twice a year, remember to
    log in and submit your club-officer list online for the January-June term. Please be sure to submit your list by December 31 to receive Distinguished Club credit.
  
  • Place Orders Early This Month 
    Due to World Headquarters' annual inventory process, there is an early cut-off date for district orders this month. Requests received by 6 a.m. December 14 (Pacific Standard Time) will be fulfilled in December. Orders placed after this date will be processed and shipped on or after January 2.  
  • December Inventory and Expense Accounting Accruals Are Due
    All districts expecting to have inventory and expense accruals as of December 31 must record this information on the Inventory/Expense Accrual Templates. Please submit completed templates to districtfinancialreports@toastmasters.org by December 31.
  • District Leaders: Get Ready for Mid-year Training
    In January, Toastmasters International will host Mid-year Training in seven locations around the world. This training complements the district-leader training held in August. District governors and lieutenant governors will be able to evaluate their progress, make adjustments and build on the skills that are required to have a successful year.   • Submit Your Mid-year Audit Treasurer's Report
    The Mid-year Audit Treasurer's Report and documentation are due to World Headquarters by February 15. Please enter the information for December 2012 in the district accounting system by January 31. This will allow the district governor, treasurer and audit committee to complete the Monthly Narratives and Certification spreadsheet by the February deadline.
   

Online Credit Card Receipts Available

Credit card receipts are now available online for club officers who pay dues and new member fees through Club Central. You can enter your credit card information to view your purchase history and print receipts. Simply log in and enter your user name and password. Then:

  • Click Club Central (middle left of page).
  • Click the club name and number.
  • Under Conduct Club Business, click Search Credit Card Receipts.
 

 

Second Club-officer Training Begins This Month

The second round of Club Officer Training is a valuable tool and opportunity for leadership development. Be sure to promote the benefits of training and remind officers that it is an important goal in the Distinguished Club Program.

  

Area Governor Club Visits Start in January 

Area governors interact with club members more than any other district leader. They are instrumental in preserving the relationship between clubs and districts through club visits, which are required twice a year. Club visits should take place between July 1 and November 30 and between January 1 and May 31. After each visit, the Area Governor must submit the Area Governor Club Visit Report online. A copy of the completed document will be sent automatically to the district leaders and the president of the club visited.

 

1+1: New Membership-building Campaign  

December marks the launch of the 1+1 campaign. This membership-building program is designed to help grow and strengthen the organization. Learn how members, clubs and districts can all participate and be recognized for their efforts at www.toastmasters.org/1plus1.

Place Orders Early in December to Ensure Timely Delivery

Each year, Toastmasters International conducts inventory at World Headquarters from December 14, 2012, through January 1, 2013. During this time, staff cannot process orders. This includes online and mailed submissions. Please plan early and submit the following orders by 6 a.m. December 14 (Pacific Standard Time):

  • Supply orders
  • New member applications and kits
  • Charter kits
  • Education award certificates (including free manuals from the Advanced Communication Series)

Orders submitted by the deadline will be processed and shipped promptly. Orders submitted after this time will be held and processed on or after January 2.
